How to Hide a Business Process Flow in Microsoft Dynamics 365 for Sales CRM

This week in Microsoft Dynamics Support, we’ll look at how to how to hide a business process flow in Microsoft Dynamics 365 for Sales CRM.

Business process flows are supposed to guide users through business processes. Dynamics 365 comes with some out-of-the-box business process flows, and you can add your own or modify the defaults.

A question I get a lot is how to hide certain flows. Even if you disable the business process flow itself, it will still be visible on your old records.

But you can hide a business process flow completely in Dynamics 365 by modifying your security roles.

You will need to know the role(s) for any users you wish to hide the flow from, and the name of the flow itself. You can then disable the business process flow from whichever security role(s) you wish.

Identify user role

1.) Go to Settings > Security > Users.

2.) Choose a user you want to hide a business process flow from.

3.) Click Manage Roles to see which security profile the user belongs to:

Repeat as needed to determine which roles you will need to modify.

 

Identify business process flow

1.) Open a record with the business process flow you want to hide.

2.) Under the business process flow itself, you should see the business process flow name:

Modify security role(s)

1.) Go to Settings > Security > Security Roles.

2.) Choose a security role to hide the business process flow from.

3.) Click on the Business Process Flows tab:

4.) For the business process flow(s) you want to hide, uncheck all rights currently assigned to the security role:

5.) Click Save and Close.

6.) Refresh your screen by pressing F5.

Repeat as needed for each security role you want to modify.
